Submission Process Pre-Submission Checks - Medisolv Admins

Using the Submission Tracker (available on Sharepoint) as your guide in tandem with the Preflight Dashboard, perform the following steps to ensure the facility/organization is submission ready. For any issues, notify the facility for corrections/confirmations.

  1. Save All Cases: (EA Cloud only) Administration->Facility Admin->Save All Cases. This ensures that any changes to worksheets by import are captured in the reports. This is especially important when you are using TJC’s DDSP. This needs to be done prior to submitting (along with locking cases). This would be done once directly prior to submission. The steps below should be performed AFTER this is done, even if you have done the steps below MULTIPLE TIMES AND FOUND NO ISSUE - DO THEM AGAIN.
    Check option: Include Completed Cases and Lock. 

    The following steps can be performed up to a month ahead of time and on a recurring basis:
  2. Data Abstraction:  Please make sure all data abstraction is complete (Abstraction Status = Abstraction Completed AND Measure Status = Complete). Group By Abstraction Status and Measure Status to identify cases that are not completed. Check for "Case Rejected" on the Abstraction Page. Rejections must be corrected.
  3. Cases by Category Assignment: Check Measure Category ‘Y’. Cases with a Measure Category ‘Y’ reflect the usage of "UTD". Verify with the client the usage of this allowable value is correct. 
  4. Cases No Longer In Population: (EA Cloud only) The Cases No Longer in Population Report will identify the cases which no longer qualify for the measure set you are running. Cases found on this report may need to be deleted or re-imported. If cases are deleted, you may need to add more cases - see #7.
  5. Event Rate Results: For facilities that submit HBIPS Events. You can check Inpatient Days by running the Event Rate Results and looking at the Inpatient Days column – it should not be zero. The No Events checkbox on the Abstraction Page will indicate if no events are expected. IPFQR participants should enter this data quarterly by the Medisolv Data Due Date. On-Prem facilities have Psych Days automatically computed, Cloud clients must enter both Psych Days and Leave Days.
  6. Potential Duplicate Accounts: To identify potential duplicates. These cases need to be deleted if they are true duplicates. If they are not duplicates, the cases can remain on the report. If cases are deleted, you may need to add more cases - see #7.
  7. Quarterly Population and Sampling: The Oversample/Undersample will display a negative number if the sampling requirement has not been met. The OP Quarterly Oversample/Undersample will display a negative number if Outpatient Measure Sets do not meet the Quarterly sampling requirement.
  8. Submission Edit Checks: Displays edit messages that should be investigated prior to submission. Critical edits MUST be resolved.  Informational edits should be checked and if data is incorrect, fixed.  Informational edits that are correct as is can be indicated by using the Acknowledge checkbox on the report.
  9. For on-prem, check for Missing Diagnosis Codes. Final Cases without Diagnosis Codes should be run. Cases that will not qualify for any population are okay, cases that should be in ENCOR for Hospital Abstracted Measures need to be looked into.
  10. For on-prem, check IPP Last Run Date to be sure ENCOR for Hospital Abstracted Measures is up to date.
  11. Lock quarter (hide cases) prior to beginning submission.
