Invite Users:
The process remains that if a user needs access, a TP will be entered to include name, email address, role, and what facilities are needed for access.
- Go to Hickory: manage.medisolvcloud.com
- Manage Invitations
- Select Org
- Application: ENCOR HOSPITAL ABSTRACTED MEASURES APPLICATION
- Add User
- Select Sub-Org
- Select Roles
- Add e-mail in Box – to add multiple, separate with semi-colon; no space
- Click Add
- Check Send e-mails
- Click Go
Delete from Manage Invitations page will delete an invitation for an unregistered user.
Send Invitation will resend an unclaimed invitation.
If a User is not on the Manage Invitations page and is also not in ENCOR Abstracted even though an invitation as been sent, they probably need to sign-in to ENCOR.
Invite Users - SAML:
If a user needs access, a TP will be entered to include name, email address, role, and what facilities are needed for access. Assign to EA Managers and Kristi. The following Organizations use SAML:
Broward Health
IU Health
University of Michigan
Christus Health
Cedars-Sinai (Huntington Hospital)
Memorial Hermann
Once confirmation is received that the user has been added, send a link to ENCOR for Hospital Abstracted Measures.
Adding an Existing User to an additional Organization (must be a contract abstractor):
- Go to Hickory: manage.medisolvcloud.com
- On Users menu, select Manage Users
- Select Organization
- Select Sub-Organization: select the facility within the org to add user to (you will have to do this one by one if adding to multiple facilities within the organization)
- Select Application: ENCOR HOSPITAL ABSTRACTED MEASURES APPLICATION
- Click 'Grant Permission'
- Enter user's email address in the look up text box and click 'Look Up'
- If user is found, enter their Role into the Roles text box and click 'Save'
- Repeat steps 4 through 8 if adding to multiple facilities within the org
- User will need to log out of ENCOR-a and log back in to see the updates
- If not a contract abstractor, put in a tp for Karthik.
Deleting Users for a non-contract abstractor (Contract Abstractor - see next section):
- Go to Hickory: manage.medisolvcloud.com
- On Users menu, select Manage Users
- Select Organization
- Select Sub-Organization: Entire Organization (default)
- Application: ENCOR HOSPITAL ABSTRACTED MEASURES APPLICATION
- Select the users using the check box and click on “Delete Selected Users”
- Enter the reason for deletion and click OK
- To view users who have already been deleted, go to https://manage.medisolvcloud.com/DeletedUsers and choose the appropriate organization
Set Permissions on Manage Users page will allow you to change access role. This can be done from within ENCOR Abstracted.
Deleting Users for a contract abstractor:
- Go to Hickory: manage.medisolvcloud.com
- On Users menu, select Manage Users
- Select Organization
- Select Sub-Organization: Entire Organization (default)
- Application: ENCOR HOSPITAL ABSTRACTED MEASURES APPLICATION
- Search for the User and click Set Permission
- In the pop-up, select the sub-org, the role will display, click x to remove the role
- Click 'Change'
- Repeat for each sub-org
- Change Application to ENCOR Dashboard and repeat steps.
- If there are many sub-orgs, please enter a TP for engineering to perform in CitC. Karthik is going to add an enhancement to make taking care of multiple sub-orgs easier.

For Access to the Knowledge Center (non-Cloud Users):
The process remains that if a user needs access, a TP will be entered to include name, email address, role, and what facilities are needed for access.
- Go to Hickory: manage.medisolvcloud.com
- Manage Invitations
- Select HubSpot for Organization
- Select HubSpot for Knowledge Base for Application
- Add Users
- Select ‘Entire’ for Sub-Organization
- Select ‘User’ for Role
- Enter Invitee(s) email address; Use semi-colon with no spaces
- Click ‘Add’ and wait for the processing to complete. You will see email displayed.
- Check Send Emails
- Click Go.
- The user will need to complete the registration once this has been completed. Send them the URL, if they do not receive the invitation. The user needs to go to - https://knowledge.medisolv.com/.
Updating Existing User First/Last/Display Name:
- Go to Hickory: manage.medisolvcloud.com
- On Users menu, select Manage Users
- Select Organization
- Select Sub-Organization: Entire Organization (default)
- Application: ENCOR HOSPITAL ABSTRACTED MEASURES APPLICATION
- Click Edit for the user needing to have name updated
- Update FirstName/LastName/DisplayName as needed
- Click Update
Invitation sent, User registered but did not login right after registering and does not remember the password. In this case do the following:
- Go to Users -> Manage Invitation
- Select the intended organization & application
- Filter by user's e-mail address
- Click the Reset button
- In the popup, leave the Change Email Address (optional) text box empty
- Click the Reset button
Invitation was sent to john.doe@somehospital.com. User registered with jdoe@somehospital.com, and receives a failure. The user wants to use the john.doe@somehospital.com address used for registering rather than the one used earlier (jdoe@somehospital.com). In this case do the following:
- Go to Users -> Manage Invitation
- Select the intended organization & application
- Filter by john.doe@somehospital.com
- Click the Reset button
- In the popup, enter jdoe@somehospital.com in the Change Email Address (optional) text box
- Click the Reset button
- User can now register again with the john.doe@somehospital.com email address
Invitation was sent to john.doe@somehospital.com, but user stopped registering and wants to use jdoe@somehospital.com. In this case do the following:
- Go to Users -> Manage Invitation
- Select the intended organization & application
- Filter by john.doe@somehospital.com
- Click on the Update Email Address button
- Update the email address to jdoe@somehospital.com in the in-place form in the grid
- Click the Update button
- User can register w/ the jdoe@somehospital.com email address
Invitation was sent to john.doe@somehospital.com, but user registered with jdoe@somehospital.com and wants to use it instead. In this case do the following:
- Go to Users -> Manage Invitation
- Select the intended organization & application
- Filter by john.doe@somehospital.com
- Click on the Update Email Address button
- Update the email address to jdoe@somehospital.com in the in-place form in the grid
- Click the Update button
- User can just login w/ the jdoe@somehospital.com email address
Updating Existing User Access ENCOR-D - Add a SubOrg
- Go to Hickory: manage.medisolvcloud.com
- On Users menu, select Manage Users
- Select Organization
- Select Sub-Organization: Entire Organization (default)
- Application: EncorD Production
- Click Set Permission for the user needing to have access updated
- Select the SubOrganization that needs to be added
- Select the Role needed
- Click Change
- Repeat for each SubOrg needed
Add User to ENCOR-D when User already has access to ENCOR-A
- Go to Hickory: manage.medisolvcloud.com
- On Users menu, select Manage Users
- Select Organization
- Select Sub-Organization: Entire Organization (default)
- Application: EncorD Production
- Click on Grant Permission
- In the pop-up, Look-up User's e-mail
- Select the User and Role
- Click Save
Reactivate User:
- Go to Hickory: manage.medisolvcloud.com
- On Users menu, select Manage Users
- Select Organization
- Select Sub-Organization if applicable
- Select Application: ENCOR HOSPITAL ABSTRACTED MEASURES APPLICATION
- Click Activate for the user needing to be reactivated
Re-Send Invite:
- Go to Hickory: manage.medisolvcloud.com
- Manage Invitations
- Select Org
- Application: ENCOR HOSPITAL ABSTRACTED MEASURES APPLICATION
- User should appear in the grid at the bottom of the page
- Click Send Invitation
- Pop up box will appear displaying registration email
- Click Send
Adding Announcements:
All announcements should be discussed prior to posting. Grammar and spellchecks should be performed.
- Go to Hickory: manage.medisolvcloud.com
- In the Hickory Menu: Administration > Manage Announcements.
- Select the appropriate application "ENCOR HOSPITAL ABSTRACTED MEASURES APPLICATION" for Cloud and ENCOR-a On Prem Prod for on prem
- Click Add Announcement
- Fill in the form (Title, Description; You do not have to enter a Valid From and Valid To; Organizations – ALL should be selected)
- Click Add.
NOTE: The announcement will show up within 5 hours. You can delete an announcement, but you cannot edit it.
Show All Users (to see all orgs/sub-orgs a user is attached to):
- Go to Hickory: manage.medisolvcloud.com
- On Users menu, select Show All Users
- Filter on User you wish to see
- Expand to see the details
