Frequently Asked Questions/Tip Sheets

I need information about file imports.

  1. For sFTP issues ONLY, please contact NetworkInfrastructure@medisolv.com. Please include in the Subject Line – Your Organization/Facility and “sFTP issue”.
  2. Imported files process overnight, except for the inpatient concurrent abstraction file. The inpatient concurrent abstraction file will be processed within five minutes of upload to the Medisolv sFTP site.
  3. For unlocked Inpatient Cases - Birth Weight changes will revert a PC-Newborn UNC case to In Progress if it was Completed. For unlocked Outpatient Cases - Arrival Time, Encounter Date or Discharge Code changes will revert a case to In Progress if it was Completed.
  4. Base File imports WILL OVERWRITE the abstracted data in the worksheets if they are not locked.  Please see the Medisolv File Import Specifications for what data elements are included in each base file import (CMIPPS Base Data - Inpatients and CMOPPS Base Data - Outpatients). These are the data elements that will be overwritten in the worksheet.
  5. Any cases that have been started that had updates will have ‘Yes’ in the Import Change Flag field available in the Field List on the Abstraction page. This includes cases that were updated to In Progress. Only Base Files generate an Import Change Flag. Locked cases do not generate a Import Change Flag, since the worksheet will not update by import. Abstraction Not Started cases will not display the flag.
  6. Optional Clinical Data files will place the impacted cases In Progress. These can then be saved by a facility admin using Save All Cases located at Admin->Facility Admin->Save All Cases to Complete. If you have imported a clinical data file and wish to review each case for accuracy after the import, you should NOT run Save All. The Save All will complete the cases if all required data elements are present in the import.  For a case-by-case review after a clinical file import, the cases can be saved at the worksheet level after review. PLEASE NOTE: When a Clinical File is sent for a case that is not yet sampled, the data will populate the case.  When the case is sampled, it will appear in the abstraction list as Abstraction Not Started, but the worksheet will contain the data sent by Clinical File. The Save All Cases routine will display, ‘Case Requires Resave’.
  7. Locked cases will not overwrite by import. You can re-abstract data elements in a locked case, the lock only prevents the import from overwriting imported data elements.
  8. Files will not process once the Medisolv Data Due Date for CMS has passed. For example, any 1Q202X cases must be sent before June 30 or they will not process.

      1Q (January-March) June 30
      2Q (April-June) September 30
      3Q (July-September) December 31
      4Q (October - December) March 31 (the following year)

Cases that are changed by import will have the Import Change Flag on the Abstraction page changed to 'Y'. The flag assesses the newest import only. For example, Case 1 is imported for the first time in import 1.  Case 1 is changed with Import 2. The Import Change Flag updates to 'Y'.  Case 1 is in Import 3 with No Changes from Import 2.  The Import Change Flag reverts to 'N' since there was no change from Import 2 to Import 3. The Import Change Flag will only appear on cases that have been started - Abstraction Not Started Cases will not display the flag.
