Lock or Unlock? File Import Changes

Whether you lock completed abstractions or leave them unlocked impacts the behavior of file imports. 

  1. Unlocked cases can have data overwritten with new values OR Blank Values. ANY of the data elements sent in the Base files with a new value OR Blank Value will overwrite in the worksheet.  Please see the Medisolv IPPS and OPPS File Import Specifications for an inclusive list of the data elements in the base files. Exception: Beginning with Version 5.9.0.394 released October 11, 2023, Blank Values will NOT overwrite abstracted values in Sex and SexMFU
  2. Unlocked cases - New Birth Weight values will revert PC-Newborn UNC cases to In Progress. 
  3. Unlocked cases - New Encounter Date, Arrival Time or Discharge Code values will revert Outpatient cases to In Progress. 
  4. The first time a Clinical file is sent for a case, the case will convert to Abstraction In Progress.  If a case does not convert to Abstraction In Progress:
    1. Check the Clinical File to be sure the case data was sent.
    2. Verify the case is unlocked. 
  5. Clinical file data will only write to UNLOCKED cases.  Cases that qualify for more than one measure set, when locked, will lock at the case level. For example, a case is in PC-Newborns BF and PC-Newborns UNC. The PC-Newborns BF case is abstracted, saved and locked.  The PC-Newborns UNC case will be locked at the same time and a clinical file sent for the UNC case will not write to the locked worksheet.
  6. Clinical files sent without values will overwrite UNLOCKED cases with blank values.  For example, PC-Newborn BF is sent with JUST Term Newborn.  UNLOCKED Abstracted cases with Exclusive Breast Milk Feeding and Admission to NICU answered will have those responses removed from the worksheet due to blank (empty or NULL) values sent in the import file.
