Creating a New Hubspot User

Definitions/Acronyms:

TP: Target Process. The system Medisolv uses to manage tickets for all internal and external requests.

Summary:

In the event that an employee needs a Hubspot account, this document outlines the conditions and procedures for that request.

Procedures:

  1. The employee’s manager will generate a TP ticket and tag the CRM Owner. Employee will include the following information:
    1. Name
    2. Email Address
    3. Department
    4. Any special permissions required
  2. “CRM Owner” will assign employee a user account in Hubspot and select:
    1. Permission Set:
      1. Advanced User
      2. CS Rep
      3. CS Rep Service Seat: Ability to generate Knowledge Center Articles (Additional cost)
      4. Engineering
      5. Executive
      6. External Developer
      7. Limited
      8. Sales Rep
      9. Sales Enterprise Seat: Advanced sales capabilities (Additional cost)
      10. Super Admin
    2. Team:
      1. Client Services
      2. Engineering
      3. Executive
      4. External Developer
      5. Finance
      6. Marketing
      7. Sales
      8. Security
    3. Presets: Default Dashboard
  3. Email is generated from Hubspot directly to employee. Employee is responsible for completing the registration and confirming successful access with manager.
  4. CRM owner will update the TP ticket when it has been completed.
  5. Employee’s manager will update and close the TP ticket when it has been completed.

 Conditions:

  1. CRM Owner is the only person who can set up new users in the system.
  2. No Super Admins are permitted without Executive approval.
  3. CRM Owner will complete Hubspot user access request within one business day.
